THE ROLE

The Exam Coordinator (EC) will assists the Exam Event Manager in the end-to-end delivery of all exam events. This includes the sourcing and hiring of venues and casual staff, as well as, working with the JEM team to ensure successful delivery of all exam events.

The EC works autonomously as well as collaboratively within the JEM team to contribute to the timely and successful delivery in a dynamic and fast-paced environment, maintaining and promoting professional partnerships through effective and people-focused customer service.

The EC manages the delivery of ad-hoc projects (e.g., research, stakeholder engagement, marketing) as instructed and adapts to new opportunities to expand skill sets in a fast-shifting market space. Where required, the EC will lead exam sessions in accordance with the customer requirements. The EC supports the team in workplace culture initiatives and contributes to making Janison a better place to work.

Other duties include:

  • Assist in the administrative management of JEM services while ensuring the smooth-running of all exam events and assist in the logistic coordination of exam material.
  • Communicate and maintain relationships with students, customers and venues regarding bookings and requirements.
  • Liaise with relevant stakeholders to confirm exam dates, clarify requirements, understand candidate profiles and address any concerns or requests.
  • Professionally and promptly attend to enquiries via phone and email.
  • Maintain accurate record-keeping and documentation. Deliver, coordinate and oversee exam events.
  • Provide L1 support to candidates during live events where needed.
  • Assist with ad-hoc administration tasks as directed by the Exam Events Manager.
  • Assist with event day management including direction of invigilation staff, taking initiative to solve issues as they arise.
  • Flexibility with working hours which may include some evening and weekend event management ensuring end to end coverage of critical events and timely delivery of projects.
  • Manage staff through Staff Management Software, technical competency required for use with online examinations and general business functions.
  • Maintain up to date, accurate and clear records on all projects, administrative duties and team tasks enabling transparency across the team
  • Refine and document process across JEM services
  • Focus on positive customer relationships and representation of Janison core values
  • Maintain minimum GM across projects. Monitor and act to eliminate cost/revenue risks
  • Work with the Exam Events Manager to ensure that all operations and processes adhere to customer, Janison and JEM policies and regulations

ABOUT YOU

To be successful in the role you will have similar working experience, being proactive and taking initiative with tasks, ability to work in a fast-paced environment with the ability to multi-task. You should have good communication skills both written and verbal and enthusiastic and proactive mindset

You should have experience in high level customer service skills, a technical, logical thought process, High level competency in Microsoft suites, ability to work autonomously and part of a team

Its is desirable to have experience using or implementing CRM’s or other such software, experience with help desk software and an ability to apply technical skills across a wide range of issues and business areas
