Logistics Manager

Position Summary:

The Logistics Manager manages secure logistics operations for Janison’s high-stakes examination programs. The role requires proven experience managing complex logistics including secure inventory management, exam materials preparation and packing, national dispatch, facilities management, and logistics systems implementation. The position manages secure handling and dispatch of exam materials for multiple high-stakes government contracts, venue logistics, and operations at the Janison Exam Centre (Wentworth Park). The role requires strong operational discipline, systems experience, and process management skills. The Logistics Manager leads 2 permanent logistics staff plus casual workers during peak periods. The role ensures all materials, equipment and facilities are prepared, secured, dispatched and returned according to governance and security requirements. The position drives process improvement through systems implementation, workflow automation, and operational controls. The role combines operational leadership, systems expertise, and process management to ensure exam events are delivered securely, accurately and on time

 

Duties & Responsibilities:

Logistics Operations Management:
  • Manage secure receipt, storage, preparation, packing and dispatch of all exam materials to national venues, following security protocols, chain of custody requirements, and exam governance standards
  • Conduct quality assurance and stocktake for all exam materials, ensuring accuracy, security and on-time readiness for all exam events
  • Manage secure return, reconciliation and incident follow-up for exam materials, maintaining complete audit trails and meeting contractual security requirements
  • Ensure invigilators and chief invigilators receive complete and accurate administrative packs, equipment and materials for each exam session
  • Coordinate the movement, setup and pack-down of furniture and equipment for large-scale exam venues (including events with 1,000+ candidates), including rostering and directing logistics staff
  • Manage procurement and supply of exam-related equipment (furniture, stationery and technology), ensuring cost-effectiveness, quality and reliability
Inventory and Systems Management:
  • Maintain accurate inventory controls at the Janison Exam Centre and external storage locations using digital stock-management systems and implementing improvements to inventory tracking and reconciliation processes
  • Implement, optimise and manage logistics management systems including material tracking, stock management, dispatch scheduling, and incident logging
  • Drive digitisation of logistics processes, transitioning manual workflows to digital systems wherever possible to improve accuracy, efficiency and visibility
  • Establish and monitor operational KPIs and metrics, using data to drive continuous improvement in accuracy, efficiency and service delivery
Process Management and Continuous Improvement:
  • Develop, document and continuously improve logistics standard operating procedures (SOPs), focusing on automation, reduced manual handling, error prevention and process optimisation
  • Design and implement robust operational controls and quality assurance checkpoints to ensure accuracy and compliance in high-stakes exam logistics
  • Lead process improvement initiatives using structured methodologies to identify inefficiencies, reduce waste, improve throughput and enhance operational reliability
  • Conduct regular operational reviews and post-event debriefs to capture lessons learned and implement corrective actions
Facilities and Vendor Management:
  • Oversee daily facilities operations at the Janison Exam Centre, including venue readiness, maintenance, WHS compliance, contractor management and asset upkeep
  • Engage, brief and manage external suppliers including removalists, venue contacts, freight providers and equipment-hire vendors to ensure seamless event delivery
  • Maintain strong commercial relationships with logistics and facilities vendors, monitoring performance against SLAs and negotiating improvements, cost efficiencies or service enhancements
  • Ensure all logistics activities comply with WHS and exam-security requirements, promoting a safe working environment for staff, contractors and exam candidates
Team Leadership and Development:
  • Lead and develop 2 permanent logistics staff plus casual workers during peak periods, building operational capability, systems skills and process discipline
  • Conduct regular check-ins, assign work, review performance and provide coaching to improve team capability
  • Build a culture of continuous improvement and operational excellence within the logistics team

 

Experience, Skills & Qualifications:

Essential:

  • 5+ years managing logistics operations including inventory, packing, dispatch and facilities in multi-site or high-volume environments
  • Experience implementing or managing logistics systems (WMS/inventory systems)
  • Experience in process improvement using structured methodologies (Lean, Six Sigma, or continuous improvement)
  • Experience leading operational teams and managing performance
  • Strong organisational skills and ability to manage multiple priorities
  • Analytical mindset with experience using data and KPIs to drive decisions
  • Strong problem-solving and decision-making skills
  • Effective communication and stakeholder management skills
  • Proficiency with Microsoft Office (Excel, Word) and ability to learn new systems
  • Valid NSW Driver’s Licence
  • Physical fitness to move and lift furniture and materials safely

Desirable:

  • Experience in high-compliance or regulated environments (education, government, healthcare, financial services)
  • Tertiary qualification in Supply Chain, Logistics, Operations Management or Business
  • AutoCAD or floorplan design experience for venue layout planning
