Placement Testing Co-ordinator

Position Summary:

The Placement Testing Coordinator plays a vital role in the efficient and seamless scheduling of schools for placement testing, ensuring that all logistics, materials, staffing and resources are effectively managed. This includes the appropriate rostering of casual invigilators to maintain a high standard of service delivery. The role also involves overseeing staff performance, addressing any issues, and contributing to the development of project documentation and operational processes. Additionally, the Coordinator is responsible for optimising team training, reducing operational costs, enhancing communication with both staff and clients, and dricing continuous improvement in service quality.

 

Duties & Responsibilities:

  • Organise and manage all testing scheduled in the AAS Calendar for NSW ensuring that all logistics, materials, staffing, and resources are prepared in advance for each testing event.
  • Efficiently schedule schools and allocate appropriate numbers of casual invigilators to ensure effective test administration.
  • Oversee casual staff performance, providing guidance, feedback, and support to ensure consistent service delivery.
  • Monitor and adjust invigilator rosters to align with operational needs, ensuring appropriate coverage while managing costs effectively.
  • Provide exceptional client service, aiding school staff and other stakeholders in a professional and timely manner.
  • Address performance issues and implement corrective actions to maintain high standards of service.
  • Liaise with key stakeholders to develop and refine project documentation and operational processes.
  • Streamline team training programs, focusing on efficiency, cost reduction, and improving staff competency.
  • Utilise a variety of software applications, including Microsoft Word, Excel, and other administrative tools, to support organisational needs.
  • Manage shared databases, ensuring accurate data entry, timely updates, and data integrity.
  • Respond to telephone and email enquiries related to data and testing schedules from schools.

 

Experience, Skills & Qualifications:

Essential:

  • Relevant qualifications and/or a minimum of 2 years’ experience in a similar role
  • Advanced skills and experience of Microsoft Office suite, including Word, Excel and Access
  • Outstanding customer service skills
  • High level of verbal and written communication skills and demonstrated attention to detail
  • Strong stakeholder management across multiple levels
  • Ability to work as part of a team or independently and accept a high level of responsibility
  • Ability to deal with complex situations and demonstrate strong critical thinking skills
  • Proficiency in utilising data to access process effectiveness and make informed decisions

Desirable:

  • Practical experience in large scale testing projects
